Job Description: Conveyancing Support Assistant

Role Overview:

As a Conveyancing Support Assistant at Hook and Partners Solicitors, you will be an integral part of our conveyancing team, providing essential administrative support.  Your role will involve assisting with legal procedures, managing files, and maintaining effective communication with clients, solicitors, and other interested parties.

Key Responsibilities:

  1. Administrative Support:
    • Assist fee earners and the Head of Residential Department with administrative tasks.
    • Create and manage client files, ensuring accuracy and compliance with legal regulations.
    • Handle routine client enquiries and communications.
    • Collate matter start and completion data.
    • SDLT completion and submission.
    • Carrying out various Land Charges and Local Authority Searches.
    • Drafting Completion Statements and Invoices.
  2. Client Care and Communication:
    • Maintain high standards of client care in a professional and pleasant manner.
    • Keep clients informed of progress and costs.
    • Exercise confidentiality and security regarding firm and client documentation.
    • Liaising with Estate Agents and Solicitors in a professional manner.
  3. Compliance and Professional Conduct:
    • Adhere to the Solicitors Accounts Rules and the Rules governed by the Solicitors Code of Conduct.
    • Promote the firm’s services and image in collaboration with the Head of Department.
    • Participate in marketing, promotion, and department development.
  4. Skills and Qualifications:
    • Pleasant but assertive manner in dealing with colleagues and clients.
    • Effective communication skills (both oral and written).
    • Well-organised with good control of diary systems and competence in using computer facilities.

Requirements:

  • Previous experience in a conveyancing support role is desirable.
  • Familiarity with legal procedures and terminology.
  • Ability to work collaboratively in a team environment.
  • Attention to detail and strong organisational skills.

Preferred but not essential

  • Knowledge of LEAP.
  • Knowledge of Land Registry portal.
  • Knowledge of Lender portals (LMS and Lender Exchange).
